Follow-Up Email to a Bank About an Account Restriction

Follow up on a specific communication without turning an unrecorded reply into an allegation that the bank did not respond.

Anchor the follow-up to one earlier communication

A useful follow-up identifies what you already sent and asks for a precise update. Before writing, find the earlier email, letter or call note. Record its date, recipient, channel and subject. Keep a bank acknowledgement or reference if one was actually provided; your own record label is not a bank-issued reference.

In the fictional example below, Aarav emailed the Branch Manager on 20 September 2026. A bank employee replied by phone on 24 September. The employee confirmed receipt, said the restriction remained and requested a signed explanation and a UPI record. The follow-up preserves that reply while asking for information still missing.

The complete fictional follow-up

Follow-up: Request for details of the account restriction

Document prepared: 9 October 2026

I am following up on the earlier communication recorded below.

Account holder: Aarav Sethi
Bank: HDFC Bank
Branch: Jaipur Malviya Nagar
Bank branch state: Rajasthan
Account number / bank reference: XXXX-4455
Account type: Savings
Account-level inaccessible amount: ₹86,500.00

A small log makes the follow-up specific

Fields to check against the original communication
Record:Earlier communicationUse the actual detail:Date, channel, recipient and a short subject. Keep the sent copy or your dated call note.
Record:ReferenceUse the actual detail:An acknowledgement or correspondence reference supplied by the bank, if known. Keep it separate from a complaint or transaction reference.
Record:Actual responseUse the actual detail:Date, channel and what the bank said. A phone reply remains a phone reply; do not describe it as a written confirmation.
Record:Outstanding updateUse the actual detail:The question still unanswered or record still requested. Identify it explicitly rather than asking only for ‘action’.
Record:Documents requestedUse the actual detail:The bank’s actual list, if any. Record what you have selected to send separately from what was requested.

For an email subject, a factual description such as “Follow-up on my account-restriction enquiry sent on [actual date]” can identify the earlier message. Add an existing reference only if it belongs to that communication. The subject does not turn an enquiry into a formal complaint or establish receipt.

An unrecorded reply is not the same as no reply

  • You have not checked or recorded the response: leave the response status unknown. Do not write that the bank ignored the request.
  • You checked and have received no reply: describe that fact accurately as of your follow-up date, without inventing an explanation for the silence.
  • You received a partial or oral reply: record what was answered and ask for the missing information. Do not erase the reply because it did not resolve everything.

The fictional follow-up belongs to the third situation. It asks for complaint and authority details in writing; it does not say that the bank gave no response or promised to remove the restriction.

Check the update, dates and attachments before sending

Read the earlier message beside the follow-up. Correct anything that no longer reflects your records, and remove requests that have already been answered. If a reply is unclear, identify what needs clarification rather than choosing a meaning on the bank’s behalf.

These dates record events, not a statutory escalation clock. This example does not determine a legal waiting period, Ombudsman eligibility or the route for an individual dispute.

If the bank asked for documents, the document-submission cover note shows how to list only selected enclosures. If you have not made an initial enquiry yet, read the information-request letter first.
