Connect a submission to the bank’s actual request, and name only the documents you have selected to send with that letter.

Connect the documents to the bank’s actual request
A covering letter tells the recipient which request you are answering and which documents accompany that submission. Identify the request date, channel and reference if known. Then list the selected enclosures clearly, using labels that match the files or papers you are sending.
In this sample, the branch asked by phone on 24 September 2026 for two items: a signed explanation of a ₹4,000 payment and its UPI record. The reference was not recorded. The letter does not invent one or turn that call into a written bank instruction.

A request does not prove possession. Possession does not mean an item is enclosed. Selection identifies what you intend to send, and you still need to check that those items are actually attached before sending.

Adapt the note without expanding its claims
- Replace the sample account, bank and branch details with your own. Keep unknown request references unknown.
- Check the request wording against the original message or your dated call note. Include only items the bank actually requested in that section.
- Choose the documents for this submission and use matching names in the enclosure list. Remove an item from the list if you are not sending it.
- Check the attachment count and readability. Keep the final letter and the exact list sent so a later follow-up can identify the submission.
The request date, document-preparation date and actual submission date may differ. Record each for what it is. Preparing a note does not establish delivery; asking for an acknowledgement does not mean one has been received.
The cover note describes documents. It does not declare them conclusive proof of innocence, compliance or entitlement to remove a restriction. If a requested item is unavailable, do not list it as enclosed. Record the gap accurately and clarify it with the bank.
For KYC or other document requests, use the specific request
If your bank asks for KYC documents, identify that actual request and consult the bank’s applicable published requirements. This payment-record example is not a KYC document checklist and does not establish which documents your bank will accept. Avoid relabelling these two fictional enclosures as a complete KYC submission.
