Keep one account overview and a separate record for every reported restriction, so one update does not overwrite another.

If a bank reports several complaints or instructions affecting one account, a single paragraph can mix up their references and updates. Keep the account holder, bank, branch and account-level inaccessible amount together. Under that overview, create one record for each reported restriction.

Each entry can hold its own reason as reported, restriction date, reference, authority state, contact details and disputed amount. Label where the information came from. The state of your bank branch is not automatically the state of the authority mentioned for a restriction.

If you do not know whether two messages refer to the same restriction, record that uncertainty and ask the bank to clarify. Do not create a supposedly complete list by treating every failed transaction as a new complaint.

The known subtotal is ₹6,500 for the first two entries. It is not a complete disputed total because the third amount is unknown. The ₹50,000 account-level figure is a different record and is not allocated among these rows. Do not add it to the disputed amounts.

If the same transaction or amount appears in more than one instruction, record the overlap rather than silently counting it twice. A sum of entered figures is not automatically a verified total of distinct payments or claims.

Keep the correspondence history associated with the right entry

In a working log, identify the restriction a message discusses using both your local row label and any actual bank reference once available. Preserve the original date, channel, recipient, subject and reply. A message about the whole account can remain account-level instead of being copied as a separate reply for every row.

These examples do not supply invented official references. In your own record, copy the identifier exactly from the relevant communication and keep its source. An acknowledgement of your email is a correspondence reference; it need not be the underlying complaint or instruction number.

An update to one restriction is not an update to every restriction

If the bank later reports that one entry has been removed, record which entry, the date and the source of that statement. Do not mark the whole account unrestricted solely because of that update. Ask what restrictions remain and what operations are available. Clearing one restriction does not necessarily restore account operation.

How this relates to factual correspondence

The current product records multiple restrictions separately, including their references, states and disputed amounts. Transactions and inventory items can be associated with a restriction, and the factual case brief/index organizes the recorded information. This gives a bank enquiry more context than a generic letter with one reference field.

For correspondence histories, retain the relevant reference and explanation in your communication records. The product does not connect to a bank’s case system, monitor changes, decide which complaint is valid, or obtain removal of an entry. You supply the facts and review the correspondence before sending it.
